1 Scope

Our delivery guidelines apply to all customers who send goods to our locations in Germany. They ensure that your goods are properly accepted and comply with legal requirements. This allows us to quickly integrate your goods into your inventory.

Please note that these delivery guidelines do not release you from compliance with legal transport regulations.

Our guidelines govern the incoming goods process at all our locations. It is therefore important that delivery addresses are passed on correctly.

Your individual delivery addresses consist of the following:

✅ Please ensure that the carrier can provide the customer's name when signing up.

2 Notification

✅ Receipt of goods weekdays Monday to Friday of 09:00 - 16:00.

Delivery declaration

• Report every delivery via email at least 24 hours before the scheduled delivery date support@aic-logistik.de with a delivery note.
• Each delivery is notified individually per day and shipment.
• Make sure that the delivery declaration contains the expected quantities and is also delivered in the announced quantity.
• For container deliveries, please coordinate the delivery time with our support: support@aic-logistik.de. Delivery without an agreed delivery time may result in rejection or chargeable downtime.
• Notify us of reschedules at least 24 hours before the original delivery date by changing the delivery dates in the goods declaration. Send an email to support@aic-logistik.de.
• Unnotified reschedules and undelivered containers are charged at 250.00€.
• Deliveries of goods that have not been declared can be rejected. The additional cost for deliveries that have not been announced or are not on schedule is calculated at 20.00€.
• Missing data will be billed as a special expense. 5.00€ will be charged for each delivery with missing data.
• The storage costs for unresolved cases are 7.50€ per pallet per day and 3.00€ per box per day.

3 Delivery/delivery documents:

Customs:

• Only goods subject to customs duties must be delivered. Should there be deviating agreements in individual cases, this must be stated in the comment on the goods declaration.
• Container goods require a degassing certificate (GFC: Gas Free Certificate).
• We would like to point out that all currently delivered flows of dangerous goods are based on the current version in accordance with the requirements of IATA/ICAO and ADR - Chapter 1.4 of the ADR “Safety Obligations of the Parties”.
• This concerns the distributor and therefore also the supplier or the person acting on his behalf. In this way, the supplier or the person acting on his behalf guarantees that all required obligations are incumbent upon him. A liability claim against third parties is therefore forfeited. As a precautionary measure, we refer to the current legal regulations in the respective modes of transport in the Dangerous Goods Act.

Delivery with delivery note from the supplier/sender:

In the case of delivery by third parties with third-party documents, a delivery note or a packing list with the following information is required, similar to the goods declaration/notification:

• Actual sender or supplier address data
• AIC Logistics & Fulfillment customer name
• Your order or order number (PO number)
• Item data with supplier item numbers or EAN, SKU and quantity

All information on the delivery documents must match the data in the goods declaration.

Missing data means additional manual work and is billed additionally per incoming goods.

If the incoming goods do not contain any accompanying documents, this will be calculated, among other things, as goods without a delivery note will significantly delay the processes.

For missing files, 25.00€ per delivery will be charged.

4 Quality of the delivery packages

Rules for delivered packages and pallets

• Shipping label: Each package must have a shipping label with correct address details (including AIC Logistics & Fulfillment customer name) in order to assign it to the correct warehouse customer. The sender data on the shipping labels must be identical to the sender address data provided during the notification. The labels must be placed on the outside of the delivery packages in a clearly visible way.
• It must be possible to handle the pallets. Individual packages must be secured (stretches or straps) to prevent falling off.
• The individual boxes must not be larger than L x W x H = 60 * 40 * 40 cm (external dimensions).
• The individual boxes must not weigh more than 23 kg.

Delivery documents

• The delivery note/goods receipt must be attached to the outside of the packages in a standard transparent bag/delivery note pocket.
• For pallet deliveries to the long side of the first pallet package.
• For package deliveries to the largest side of the package.
• The delivery note or goods receipt slip must contain your order or order number (PO number) as a reference.

Pallet features:

• In the case of pallet deliveries, the following storage requirements apply.
• Pallet type: Euro flat pallet
• EPAL euro pallet
• The Euro flat pallet with the dimensions 120 x 80 cm (L x W) must be used. The pallet must be identical to the flat euro pallet. The maximum gross weight of a delivered pallet may 800 Do not exceed kg.
• The pallets must be defect-free and suitable for storage on high shelves without shelves. The storage of defective pallets or disposable pallets on high racks is not permitted for reasons of occupational safety. In this case, repackaging on suitable pallets may be necessary.
• Deliveries on pallets that do not have the euro dimensions and have not been expressly confirmed will be repacked onto euro pallets upon receipt. The additional costs are 20.00€ per stored pallet, plus material costs.

Stacking/layering

• The boxes/items on the pallet should be stacked securely to ensure work safety. If the goods are not securely stacked, a conversion is necessary. The use of stretch film to secure the pallet is allowed.

superstructure

• Pallets built over or built too high are not permitted.
• The maximum height for storage is 140 cm including pallet Delivery with higher dimensions is possible, but will be rebuilt at the incoming goods.

special dimensions

• Delivered goods with special dimensions (>60 x 40 x 40 cm) are only approved for delivery after individual approval/coordination.
• Please contact our support team to do so.

strapping

• Pallets with metal strips are not accepted or processed further.
• Pallets with plastic straps are allowed.

Item sorting/mixed delivery

• 💡 We recommend spatial separation, clear labels and a clear layout!
• Packages are stored by type. Item only deliveries are recommended, but are not absolutely necessary.
• If a pallet or package is not delivered by type, articles in the package must be clearly differentiated and labelled.
• The contents of a mixed pallet must be recognizable from the outside using labels similar to the packing list. For each SKU, there must therefore be a label on the outer packaging.

• Each pallet must have content tags to facilitate verification and localization. For this purpose, clearly visible and identifiable content labels can be attached to the front or back of the pallet.
• When transporting parts in mixed loads, the following requirements should be met to avoid handling and re-stacking charges:
• Do not place heavy parts on lighter ones.
• Separate or fix loose parts to prevent damage to other components. Place the highest quantity of pieces/containers at the bottom of the pallet, provided they do not exceed the weight mentioned above.
• Physically separate parts on a “MIXED LOAD” for easy identification and quantity control. Pack small parts with one SKU per box to improve the accuracy and speed of part identification and prevent damage.
• Uniquely mark at least one part or bundle of each part number with the part number.
• Wrap loads secured on pallets with shrink wrap or stretch film thick enough to hold the load and prevent slipping.
• For loads that are secured with strapping on pallets, use an edge protector to prevent the strapping from cutting into the boxes.
• Mix different part numbers on a pallet until you have complete pallets with similar part numbers.
• Clearly mark permitted mixed pallet loads as “MIXED LOAD.”
• Secure pallets during transportation to prevent movement.
• Palletize all boxes individually to minimize manual handling and allow stacking.
• If distribution is carried out over several packages or if sorting costs are required, additional fees apply.
• If sub-packaging with a label is missing, the additional costs will be charged.
• Make items clearly identifiable. Missing item names/part numbers are charged at €3.00/packaging unit (plus special expenses).

5 Receipt of goods

On receipt of goods, an inspection is carried out with regard to the following criteria when unloading/receiving the goods:

• Quantity control of incoming packages
• External visual inspection for damage with documentation and description of the damage
• Damaged shipping packaging will be charged at €3.00 plus special costs
• Control and verification of accompanying documents
• Monitoring compliance with delivery guidelines

The storage costs for unprocessed cases amount to 7.50€ per pallet and day and 3.00€ per box per day.

6 pallet swaps

In the event of a pallet exchange, it is necessary that the pallets meet the exchange criteria of the European Pallet Pool for Euro pallets. The pallet exchange is carried out gradually during SAN delivery. If there is no exchange, AIC Logistics & Fulfillment is released from its obligation to return the pallets, unless AIC Logistics & Fulfillment is responsible for the non-exchange (example: freight forwarder refuses to accept ex-exchange pallets). The exchange fee per pallet is 1.00€.

7 Exclusion of liability

If a delivery does not comply with the provisions required in these delivery guidelines, no liability can be assumed for downstream processes.
